NEO SCIENCE OLYMPIAD & CODING OLYMPIAD GRAND FINALS
GROUP APPLICATION AND PARTICIPATION AGREEMENT
(Orlando-Miami, January 9-16, 2026)

This agreement must be digitally approved by the group supervisors via the provided link. The written version of the agreement, signed by an authorized representative of Main Team Organization LLC, has been presented to the supervisors as a reference for approval via the link.
Moreover, signing and sending the email is not required.

These conditions set out the terms of the agreement between the Supervisor (on behalf of students, parents, and teachers) and Main Team Organization LLC (NEO Science Olympiad and Coding Olympiad).

Students, parents, and teachers intending to take part in the NEO Science Olympiad and Coding Olympiad Grand Final program, scheduled for January 9-16, 2026, in Orlando and Miami, USA, acknowledge and agree to the terms and conditions outlined in this agreement.

1. BASIC CONDITIONS
a. The NEO Science and Coding Olympiad Grand Final programs are organized by Main Team Organization LLC.
b. The parties to this agreement are supervisors (on behalf of students, parents, and teachers) and NEO Science & Coding Olympiads (Main Team Organization LLC).
c. This is a paid event.
d. The official language of communication for the Grand Finals program is English.

2. APPLICATION CONDITIONS
a. The Grand Final is open to all students in grades 3 to 11, with no age-related restrictions.
b. Students in grades 3 and 4 may participate as part of the group only if accompanied by an adult (parent or guardian).
c. Students in grades 5 to 11 may participate with their supervisors (teachers).
d. Only supervisors are authorized to submit group applications on behalf of students, parents, and guardians.
e. A supervisor must have at least 8 students to participate. Students in grades 3 and 4 are counted together with their accompanying adults.
f. A supervisor with fewer than 8 students may participate by paying the full participation fee.
g. Each group may include 8 to 15 students accompanied by one supervisor. For groups of 16 or more students, a second supervisor is required.
h. Students who have taken the NEO Science or Coding Olympiads online exams are not required to meet a specific achievement level to join.

3. VISA APPLICATION CONDITIONS
a. Participants requiring a visa must follow U.S. consulate procedures.
b. Since the Grand Final program will be hosted in the USA, it is mandatory to submit the visa application to the U.S. consulates.
c. Supervisors will receive an email containing the invitation, daily schedule, accommodation details, and transportation information necessary for visa application.
d. Some consulates may request an original invitation letter. In such cases, the group will be charged a postage fee of $150.
e. Parents must prepare and submit all other required documents for the visa application to the consulate. While consulates evaluate these documents, the visa decision primarily depends on the submitted documents and/or the consular interview.
f. The consulate may request a letter of parental consent for students to travel to the USA with their supervisor. When handling this document, supervisors should take into account that some parents may be separated or reside abroad.
g. Students and accompanying supervisors are responsible for obtaining visas, travel health insurance, and covering all related processing fees.
h. The supervisor is responsible for coordinating and following up on all visa and consulate arrangements for the group.

4. SERVICES INCLUDED IN THE PARTICIPATION FEE
a. Upon arrival at the airport, the NEO Science Team will meet the groups and arrange their transfer to the hotels. For transfer service and on-site support, arrivals and departures are recommended between 05:00 AM - 05:00 PM.
b. Reservations have been made at 3 or 4-star hotels.
c. The participation fee includes breakfast only; lunch and dinner are not included.
d. The NEO Science Olympiad will provide transfer services for the activities specified in the program, for a total of 8 days. The duration and schedule of these transfers may vary depending on the registration type, which can be either Miami + Orlando (January 9-16, 2026) or Orlando only (January 10-15, 2026). Transfers will be arranged by private coaches.
e. The NEO Science Olympiad will organize the program activities, which include visits to the NASA Kennedy Space Center, Universal Studios Florida, and Universal Islands of Adventure.
f. The workshops, challenges, and exams will be held at the designated event venues specified in the program.
g. Each participant will receive 3 T-shirts to wear during the program. Wearing these T-shirts is mandatory for all participants throughout the event.
h. City and hotel taxes are also included in the price.

5. PROGRAM FEE AND PAYMENT CONDITIONS
a. Participation fee:
• Orlando Only (January 10-15, 2026): $2,200
• Miami + Orlando (January 9-16, 2026): $2,600
b. A nonrefundable deposit of $500 is required to secure participation.
c. These fees are applicable when payment is made through a bank transfer. A 4% transaction fee applies to credit card payments, due to Stripe processing fees.
d. Services included in this price: Transfers, Accommodation, Breakfasts, Event Tickets, Exams, and Award Ceremony (The services included in the price are listed separately in the Section 4).
e. Services not included in this price: visa fees, travel health insurance, flight tickets, personal expenses, lunches and dinners
f. The remaining balance must be paid no later than 1 week after the visas are issued and this date should not exceed December 15, 2025.
g. Payments must be coordinated by the supervisor.
h. Payment options and an invoice for the registration fee will be provided prior to completing the payment.

6. GRAND FINAL DAILY PROGRAM
January 9, 2026 - Welcome at Miami International Airport (MIA) and Hotel Transfers
January 10, 2026 - Miami City Tour and Travel to Orlando by Bus, Olympiad Registration
January 11, 2026 - Opening Ceremony and Challenges
January 12, 2026 - NASA Kennedy Space Center Tour
January 13, 2026 - Exams, Leisure Activities in Downtown Orlando
January 14, 2026 - Fun-Day: Universal Studios Florida and Universal Islands of Adventure
January 15, 2026 - Award Ceremony (ending no later than 5 PM), travel to Miami by bus.
January 16, 2026 - Transfer to Miami International Airport (MIA)

• Participants choosing the Orlando program will arrive at Orlando International Airport on January 10, where they will be welcomed and transferred to their hotel. After the award ceremony on January 15, they will be transferred back to the airport for their departure.
• Since the award ceremony will end no later than 5 PM on January 15, participants returning from Orlando should schedule their flights no earlier than 8 PM.
• When necessary, the NEO Science Olympiad reserves the right to amend the daily itinerary, except for January 15.

7. EXAM CATEGORIES AND EVALUATION
a. Students may participate in the following categories based on their grade level and may choose up to 2 categories:

b. The exams in each category consist of 40 multiple-choice questions.
c. Participants in each grade will be evaluated and ranked separately in all categories.
d. For the Coding category, rankings and awards are determined by grade groups instead of separate grade levels.
e. Additional Challenges: Independently of the categories listed above, additional challenges will be organized. Participation in these challenges is limited, and the eligibility criteria shall be communicated to the supervisors one week prior to the event.

8. ACCOMMODATION
a. Accommodation will be in 3 or 4-star hotels in Miami and Orlando, Florida.
b. Main organization hotel in Orlando (January 10-15, 2026):

c. Additional hotel for groups arriving in and departing from Miami for an extra 2-night stay (January 9 and 15, 2026):

d. The hotels listed in this agreement serve as the main accommodations for the program. If the number of applications exceeds the available capacity, NEO Science Olympiad may arrange accommodation in other similar hotels of equal standard to ensure all participants are comfortably hosted.
e. Hotel check-in starts after 04.00 PM. Groups arriving early may have to wait at the hotel if there is sufficient space to store luggage. Otherwise, they may need to wait at the airport.
f. Students will be accommodated in twin, double, or triple rooms. In triple rooms, the third bed may be a sofa or an extra bed, which may differ in comfort from the other two beds.
g. Students in a group will be accommodated based on their gender, first with other students from their group, then with students from their home country. The last option is to share a room with a student from a different country. Students wishing to stay in a single room must pay an additional $950 for a 5-night stay in Orlando, subject to availability.
h. The terms and conditions of the accommodation provider will apply during the stay at hotels.
i. Participants are required to fully comply with the rules and policies of the hotels. If the fire alarm or automated external defibrillator (AED) alert system is activated due to smoking, open flame (such as a match), steam from the bathroom, or other improper use or negligence, a penalty fee of $1,500-$3,000 may be charged to cover services provided by the police, medical teams, and fire brigade. These systems are activated automatically, and it is possible to identify the room or corridor where the alarm or alert was triggered. In such cases, the fine will be paid by those responsible.
j. If a student is asked to leave his/her room at the hotel because of inappropriate behavior, the NEO Science Olympiad will not arrange alternative accommodation and the student will need to make their own booking.
k. Supervisors are responsible for ensuring that student and supervisor rooms are used in an orderly and undamaged condition. The supervisor must inspect the rooms the evening before check-out day and in the morning of check-out. Any damage caused to the hotel by a student must be paid for by the student or the supervisor prior to departure.
l. If any damage or material loss is detected by the hotel after check-out, it will be reported to Main Team Organization LLC within 3 days at the latest. The amount requested by the hotel based on this report will be charged to the group supervisor and the students staying in the damaged room.

9. TERMS OF PARTICIPATION, CANCELLATION AND REFUND
a. If a student or group cancels their participation for any reason after paying the deposit, the amount paid will not be refunded.
b. If a student or group cancels their participation for any reason after paying the balance, the amount paid will not be refunded.
c. If a student or group cancels their participation for any reason in the optional services after paying the participation fee, the amount paid will not be refunded.
d. If a student or group who has been issued a visa decides not to participate for any reason, they will forfeit their deposit and may not transfer their participation rights to another student.
e. The deposit paid will not be refunded if a visa cannot be obtained or if the visa application is refused by the consulate. Visa refusals are based on the individual documents provided by students, parents or supervisors and are solely at the discretion of the consulate.
f. If a student’s visa is refused, the supervisor can add a new student instead. In this case, the paid deposit is transferred to the new student. However, if the early registration period has expired, an additional fee will apply.

10. DUTIES AND RESPONSIBILITIES OF TEACHERS
a. This agreement appoints the supervisor as the only authorized and responsible person on behalf of the student group.
b. The supervisor is responsible for informing and explaining the terms of this agreement to the parents and students. The supervisor is advised to obtain a signed consent from the parents.
c. Once the participation of students in a group has been confirmed, the supervisor ensures that the deposit fee is collected and paid. This payment can be made by credit card or through a bank transfer. For online payments via the provided link, a 4% transaction fee will be added to the main price. The NEO Science Olympiad will provide the necessary information along with the invoice.
d. Before paying the deposit fees, the supervisor schedules a visa interview with the U.S. consulate and follows the procedures. The supervisor can also work with a visa consulting company to coordinate the process.
e. The supervisor is required to coordinate the collection of documents requested by the consulate as well as flight reservations.
f. Flight ticket dates must align with the program schedule. Groups arriving in and departing from Miami must arrive at Miami International Airport (MIA) on January 9 and depart on January 16, 2026. Groups arriving in and departing from Orlando must arrive at Orlando International Airport (MCO) on January 10 and depart on January 15, 2026.
g. The flight tickets should be finalized once the visa results have been confirmed.
h. The supervisor is responsible for making sure that the remaining payments are made.
i. The supervisor must share the most up-to-date information about the Grand Final with the students and if necessary, with the parents.
j. The supervisor must complete all the necessary preparations before the flight.
k. The supervisor must supervise group members during their trip, ensuring punctuality for departures and preventing damage, nuisance, and misconduct. (The supervisor must oversee matters such as boarding times, meal times, bus departure times, program times, security and behavior.)
l. During the Grand Final program, the supervisor must ensure that students are in harmony within their group as well as with all other participants.
m. The supervisor is responsible for all material and moral damages caused by students at the hotel, on public or private transportation, at science centers and museums.
n. The supervisor must remain with and always take responsibility for their students, including supervising breaks and accompanying students from their accommodation to the center and back, where appropriate.
o. We strongly advise supervisors to collect a damage deposit of $250 from each student before the flight. We recommend returning the received damage deposits no earlier than 3 weeks after you have returned to your country.

11. ADDITIONAL CONDITIONS
a. Flight days must correspond to the program schedule. The NEO Science Olympiad will not be able to provide additional accommodation or transportation for early arrivals or late departures.
b. If the group arrives late for any reason, no refunds or additional activity arrangements will be provided for the missed days. Upon arrival, the group must arrange their own transportation to the relevant section.
c. Students and teachers must comply with the schedule stated in the program. Late groups or students will be responsible for arranging their own transportation to the relevant part of the program.
d. Lunch is not included in the program fee and is considered a light meal during activities (e.g., pizza, spaghetti, chips, drinks, etc.). The average cost is $15-$20 per meal.
e. Dinners are considered the main meal of the day and can be arranged at alternative restaurants near the hotels by the teachers. These meals are also not included in the program fee. The average cost is $20-$30 per meal.
f. Participants of the Grand Final program, including students, teachers, and guests, are not permitted to promote or distribute materials about any competitions or events not organized by the Main Team Organization to other participants during the Grand Final program. In addition, they may not engage in any commercial or marketing activities during the program.
g. Complaints, if any, must be raised promptly, either at the time of the issue or by the following day, to allow for timely resolution.
h. Promotional photographs and videos: The NEO Science Olympiad may take photos or video clips during class or leisure activities. These materials may be used for publicity, including on the Olympiad’s social media platforms and website.
i. The NEO Science Olympiad is not liable for any loss, damage, illness or injury to individuals or property, except where statutory liability applies.
j. All correspondence must be conducted via email at info@neoscience.org.
k. After arriving in the USA, all participants must leave before their visa period expires. Those who overstay may face fines, imprisonment, or bans from entering the USA. Additionally, Main Team Organization LLC reserves the right to pursue monetary and non-monetary damages, starting at $100,000, for those who fail to return to their countries and instead flee or apply for asylum, causing harm to the company’s reputation and future operations.
l. This agreement is signed by the supervisor on behalf of the individuals listed on the NEO Science Olympiad’s Grand Final Application platform. As a supervisor, I assure you that none of the individuals listed on this platform (teacher, student, or parent) have first-degree relatives (father, mother, brother, or sister) residing in the United States, whether legally or illegally. If any participant has relatives residing in the United States within this degree of relation, I agree to inform the NEO Science Olympiad accordingly.
m. The organizing committee and sponsors will cover the costs of transfers, accommodation, meals, and event ticket expenses for teachers accompanying each group of 8 students during the program in the USA. However, visa, insurance, and flight tickets are not included. This offer does not apply to paid teachers. The NEO Science Olympiad committee recommends that parents of the participating students cover the remaining expenses (visa, insurance, and flight tickets) for the supervisors responsible for the students during the 7-day program.
n. Supervisors shall be responsible for obtaining their own mobile phone and internet service packages during the Grand Final. They are required to arrange communication either through international roaming plans provided by their local carriers, international eSIM services, or by purchasing prepaid SIM cards in the United States. The Olympiad Committee will not provide any service or support in this regard.
o. If there are students who have not participated in the NEO Round 1 exams, they must take either the Coding Olympiad AI Prompt Lab exam on November 15 or the STEM Olympiad Qualification exam on November 23. Unfortunately, students who have not participated in the online qualification rounds will not be eligible for the Grand Final. (Participation in the German Math Olympiad or Hi-Lingua competitions is not included within this requirement.)


12. FORCE MAJEURE CIRCUMSTANCES
a. Main Team Organization LLC shall not be liable to perform its obligations under this Application and Participation Agreement in so far as such performance is hindered or prevented by war or threat of war, riot, civil strife, actual or threatened terrorist activity, any significant risk to human health such as the outbreak of serious disease at the destination, epidemic, pandemic (including the ongoing impact of the COVID-19 pandemic), chemical or biological disasters, flood, drought, earthquake, any law, guidance or advice issued or any other action taken by a government (local or national), industrial dispute, digital attack, natural or nuclear disaster, adverse weather conditions, fire or other similar cause, or failure of a third-party supplier, provided that any such specified cause or other similar cause is beyond the reasonable control of Main Team Organization LLC.
b. These Terms and Conditions are governed by the laws of the United States, and both parties agree that the courts of the United States have exclusive jurisdiction.
c. This contract consists of a total of 12 sections.
